YOUR ROLE 

  

As an experienced Executive Assistant, you will provide comprehensive administration support to two of our Executive Managers for the efficient and effective management of their schedules and commitments.

 

You will partner with the Executive Managers and provide proactive support and assistance in the delivery of targeted business outcomes, effective team and stakeholder management, and a highly engaged and celebrated team culture.

 

You will:

  • Manage calendars, schedule appointments and meetings.
  • Coordinate and support meetings and events, including scheduling the meeting, preparing agendas and papers, minute taking, following up of action items, catering and room bookings.
  • Organise and coordinate logistics of business and team events.
  • Organise and manage travel arrangements and itinerary planning.
  • Prepare and support invoice and expense management and reporting.
  • Prepare presentation using Microsoft PowerPoint and other relevant software.
  • Draft and proofread emails, documents, and other communications.
  • Support and build strong team engagement and culture.

 

You will:

  • Be a self-directed individual who will function proactively, handling curve balls when required.
  • Have a high level of attention to detail and accuracy.
  • Have an intermediate to advanced knowledge of Microsoft Office, in particular Excel and PowerPoint, accompanied by an analytical mindset.
  • Be tech savvy with a curious and innovative mindset and a desire to grow with the team and our business.
  • Be able to understand and pre-empt the unique needs of the Executive Managers on an ongoing basis.  
  • Handle confidential information with discretion and professionalism.
  • Have excellent organizational, time-management skills and strong communication and interpersonal abilities.
  • Proactively identify and address challenges to ensure seamless operations and multitask and prioritize tasks effectively.

 

This is a full-time permanent role, based in Sydney. Your role will be a hybrid of office and some remote working.

 

About You

 

To be successful in this role, you’ll be a polished Executive Assistant with 3+ years’ experience in a similar role within Financial Services, you will be a high performer, agile, logical and relish working in a fast-paced work environment.

 

With great communication skills you will be able to build and maintain key relationships with internal and external stakeholders with a high level of professionalism. You will be known for your ability to anticipate the needs of your Executive Managers and the leadership team ahead of time. You will also demonstrate:

 

  • Proven senior experience providing support to Executives in a corporate environment.
  • Experience of carrying out a wide range of administrative tasks and functions within an office environment.
  • Advanced technology acumen, including managing electronic board portals, Microsoft Office experience in all Microsoft 365 applications (in particular Excel and PowerPoint) SharePoint, Teams, Confluence or equivalent.  
  • Strong word processing, presentation, and spreadsheet skills.
  • Effective workload management and timely delivery of commitments.
  • High degree of confidentiality.
  • Proactive thinking and confident to make decisions.
